Keep Your Machines Ready to Ride

Welcome to LookOver. We built this app because we needed it ourselves. No more spreadsheets. No more lost paper notes. No more guessing when you last changed the oil. Just simple, reliable tracking so you can ride more and wrench less.

Something is always better than nothing. Start small, stay consistent, and trust that writing things down beats trying to remember everything.

You know your machines, your conditions, and your riding style. LookOver helps you stay organized and on top of maintenance so when it's time to ride, you're ready.

Getting Started

LookOver is built around three core concepts: Machines, Services, and Reminders. Here's how to get rolling.

Adding Your First Machine

Your garage starts here. Add each machine you want to track and LookOver will help you keep it running great.

What to include:

  • Title/Nickname: Something you'll recognize ("Trail Ripper," "The Mudder," etc.)

  • Year, Make, Model: Helps with organization and future features

  • VIN: Optional, but useful for records, resale, and recall matching

  • Cover Photo: Makes your garage feel like yours

  • Starting Hours/Mileage: Your baseline for tracking and reminders

💡 Pro tip: Start with your most-used machine. You can always add more later.

Race Mode

For dedicated race machines, toggle on Race Mode. This switches tracking from "Hours + Distance" to "Hours + Races." Instead of miles or kilometers, you'll track how many races the machine has run.

Race-based reminders make more sense for competition bikes where maintenance is tied to race events rather than trail miles. You can set reminders like "valve check every 5 races" instead of every 50 hours.

Logging Services

Every oil change, filter swap, chain adjustment, and bolt check can live here. Log services as you do them or add past work from memory. Having a record is what matters.

Each service can include:

  • Subject: What you did ("Oil Change," "Chain Tension," "Pre-Ride Check")

  • Date: When it happened

  • Hours/Mileage/Races: Where your machine was at, with the change since your last service shown right in the form

  • Cost: Track what you're spending (Pro)

  • Notes: Part numbers, observations, anything useful

  • Photos: Receipts, before/after shots, part labels

💡 Pro tip: Log services right after you do them. Your future self will thank you.

Setting Reminders

Never forget another service. LookOver gives you four ways to trigger a reminder so it matches how you ride:

Reminder types:

  • Date-based: Great for seasonal tasks like coolant flushes or winterization

  • Hours-based: Ideal for engine work like oil changes and valve adjustments

  • Mileage-based: Best for wear items like tires, chains, and brake pads

  • Race-based: For competition machines with Race Mode enabled

Need something to land on the same calendar day every year? Set an annual recurring reminder on a fixed date. Winterize on October 1, registration in March, insurance renewal, whatever runs on the calendar. It comes back on that exact day each year, no drift.

Not sure which to use? Check your machine's service manual. It usually specifies whether intervals are time, hours, or mileage-based. When in doubt, hours-based works well for most engine maintenance.

Compound "OR" Intervals

Some maintenance needs to happen based on whichever comes first. LookOver lets you set compound intervals like "every 50 hours OR every 2 races." The reminder triggers when either condition is met.

This is especially useful for race bikes where you might hit a race count threshold before an hours threshold, or vice versa. Set both conditions and let LookOver track whichever comes first.

Recurring Reminders

When you complete a recurring reminder and log the service, LookOver automatically creates the next reminder based on your interval. Oil change done at 100 hours with a 25-hour interval? A new reminder appears for 125 hours. No manual re-entry needed.

Quick Add with LookOver Helper (Pro)

Skip the forms. Just tell LookOver Helper what you need and it fills in the details. Create machines, services, reminders, or usage updates using plain language:

"Changed oil on the KTM today at 1000 miles and 200 hours, cost $19.95"

"Remind me to check the air filter on my Raptor every 10 hours"

"Put 35 hours on the sled this weekend"

Say "my Yamaha" and it knows which machine you mean. When it's confident, it saves automatically. When it's not quite sure, it shows you a card to confirm before anything gets saved. Manual entry is always one tap away.

GPS Ride Tracking (Pro)

Let LookOver track your rides automatically. Start a ride, toss your phone in your pocket, and the app records your route in the background, even with the screen off. When you finish, your distance is ready to add to your machine with one tap so your reminders stay accurate.

Quick Usage Update

Not logging a full service, just want to bump your numbers? Use the quick usage update from the button on your machine to add distance, hours, or races anytime. Every ride and service already updates your totals automatically, but this is there for when you just want to top off the odometer.

Every rider is different. A weekend trail rider and a racer have completely different maintenance needs. A guy in dusty Arizona and someone in muddy Washington face different conditions. Your machines, your schedule, your system.

Start Simple

You don't need to track everything from day one. Start with the basics that matter most to you:

  • Oil changes

  • Air filter services

  • Chain/belt maintenance

Add more detail as you go. There's no wrong way to use LookOver, only the way that keeps you riding.

Recreational vs. Race Schedules

Manufacturer manuals often include aggressive service intervals designed for racing or competition. If you're a recreational rider, those intervals might be overkill.

LookOver lets you decide. Set intervals that match your actual riding style, not someone else's race schedule. You know your machines.

Per-Machine Tracking

Every machine is different. Pick what each one tracks: hours, distance, race count, or any combination. Hide what doesn't apply so your cards and forms stay clean. A trailer doesn't need engine hours, and your MX bike might not care about miles.

Tags & Filtering

Group your garage however you think about it. Add your own tags to machines, dirt bikes, sleds, trucks, trailers, project bikes, and filter down to just what you want with a single tap on a filter pill.

Inactive Machines

Sold a machine or parked it for good? Mark it inactive instead of deleting it. New writes are blocked, but the full history stays right where it is. Great for keeping records on a machine you no longer ride without it cluttering your active garage.

Reorder Your Sections

The detail pages for machines, services, and reminders are made of collapsible sections. Drag them into the order that matches how you think. Put what you check most at the top.

Distance Units

Prefer kilometers over miles? Head to Settings and switch your distance unit. All your mileage values, reminders, and thresholds will convert automatically. Works both ways, so you can switch back anytime. You can set your fuel volume units the same way.

Your Language, Your Screen

LookOver speaks 18 languages and can match your phone automatically. On iPad and Android tablets you get native layouts with comfortable reading widths and free rotation, so your garage looks great in landscape on the workbench or portrait on the couch.

Service Interval Templates (Pro)

Service Interval Templates let you build a complete maintenance schedule for your machine and apply all the reminders with one tap. Think of them as your service manual translated into LookOver.

Let AI Build It For You

Don't know every interval off the top of your head? You don't have to. Tell LookOver how you ride, your style, your skill level, and whether you're still in break-in, and it builds a complete schedule dialed in to your exact year, make, and model. You get a full preview before anything goes live, so you can tweak it first.

How They Work

  1. Start from a 31+ template library, an AI recommendation, or build your own from scratch

  2. Add each maintenance item with its recommended interval (hours, miles, race count, or date)

  3. Apply the template to generate all your reminders at once

  4. Adjust intervals to match your riding style and conditions

Annual & Compound Items

Each template item supports compound "OR" intervals, so a service can trigger on whatever comes first, miles, hours, race count, or time. You can also anchor seasonal items to a fixed calendar day, so winterize, registration, and insurance always land on the right date every year.

From Zero or From Now

Choose how your intervals line up. Zero-calibrated intervals align to the factory marks (50, 100, 150 hours) so your schedule matches the manual exactly. Or offset from today if you'd rather count from where your machine is right now. Your call, per template.

When to Use Them

  • New machine setup: Build your maintenance schedule from the service manual

  • After a rebuild: Reset all your intervals at once

  • Seasonal prep: Make sure nothing gets missed

Reapplying a Template

When you complete a service and mark the reminder done, that reminder is finished. But your template still exists. Tap "Reapply" to regenerate any missing reminders based on your current hours or mileage.

For example: You applied a template at 100 hours. You completed the oil change reminder at 125 hours. Reapplying the template creates a new oil change reminder for 150 hours (or whatever interval you set). Your completed service history stays intact.

Copying to Another Machine

Got a similar machine? You can copy your template instead of rebuilding it from scratch. Open the template, tap "Copy to Machine," and select the target. The new machine gets its own copy of the template, which you can then adjust as needed.

This is handy when you have multiple machines of the same type, or similar models that share maintenance schedules. Create once, copy as needed, tweak the intervals for each machine's specific use.

They're Starting Points, Not Rules

Templates give you a foundation. From there, you adjust intervals based on your conditions, riding intensity, and personal preferences.

Your service manual might suggest oil changes every 15 hours. If you ride hard in dusty conditions, maybe you drop that to 10. If you're mostly casual trail riding, maybe 20 works fine. Your call.

Live-Sync to Your Reminders

Change an interval on a template item and every linked reminder adjusts automatically. Dial in one place, and your reminders stay in step. No hunting through individual reminders to keep things consistent.

Service Guidance (Pro)

When a reminder comes due, you have a decision to make: wrench it yourself or take it in. Service Guidance helps you do either, right from the reminder, without leaving the app. It's dialed in to your machine's year, make, and model.

Take It In

Rather hand it to a shop? Find real shops near you that can do the work, with call, directions, and website actions in one tap.

Authorized dealers for your brand show up first. Beta, KTM, Polaris, Ski-Doo, Can-Am, and more, so warranty and brand-specific work is easy to route.

Fuel Logging

Track every fill-up and know your real fuel economy without doing any math. Log the date, odometer, volume, and cost, and LookOver does the rest.

Two Ways to Track

  • Per Fill-Up: Log each trip to the pump and get real MPG, L/100km, or km/L

  • Per Ride: Track fuel at the end of a ride instead of at the pump

Usage Log

The Usage Log is the story of how your machine got to where it is. Every hour, mile, and race in one chronological place, no matter where it came from.

  • Manual entries with backdating: Add a ride from last weekend with the right date and a quick note

  • Auto-merged services and rides: Your service readings and recorded GPS rides show up automatically, no duplicate logging

  • Direct-edit audit trail: Every tweak to your totals saves a before, after, and timestamp so you always know what happened

Bring Your Records In

Already been tracking maintenance somewhere else? You don't have to start from zero. LookOver has a few ways to bring your history in.

Notes Importer

Got a mile-long scroll in your notes app? Paste it in and LookOver sorts it into clean service records. Free for everyone, up to 3 imports per month. Most riders only need it once.

Scan a Receipt or Invoice (Pro)

Take a photo of a shop receipt or dealer invoice. LookOver pulls out the work, date, mileage, and cost, then adds the service for you. Handy for warranty proof too.

Handwritten Logbook (Pro)

Kept a pen-and-paper logbook in the toolbox? Snap a photo and LookOver reads every entry into clean service records.

CSV Import

Coming from a spreadsheet? Import a CSV and LookOver's parsing sorts messy columns into the right fields. Free for everyone, and duplicate detection keeps things clean if you import the same file twice.

Staying Protected

Maintenance isn't the only thing worth tracking. LookOver watches your back on warranties and safety recalls too.

Warranty Tracking

Log your purchase date and warranty details, and LookOver gives you plenty of heads-up before coverage runs out, nine alerts starting 90 days before expiration. You can attach proof of purchase right to a service, and even scan a receipt to capture it.

Never get caught arguing with a dealer because you couldn't find a date.

Safety Recall Alerts

LookOver checks your machines against the U.S. recall databases, NHTSA and CPSC, and tells you when one matches your year, make, and model. You'll see it flagged on the machine and get a push notification, so a recall never slips by before your next ride.

Selling & Transferring a Machine

When you sell or hand down a machine, its whole story can go with it. No screenshots, no PDF emails, no "trust me, it's maintained."

QR-Code Transfer

Generate a transfer code from the machine's page. The buyer scans it, and the full service history transfers with the machine, every oil change, every part, every reminder. You choose what comes along: services, reminders, documents, and photos.

The history follows the machine, not the owner. That's real proof of care that helps justify your asking price and gives the new owner a head start. Machine transfer is free for everyone.

Maintenance Best Practices

You don't need to be a mechanic to keep your machines running. Here are some practical habits that help.

Pre-Ride Checks

Before every ride, take 60 seconds to look things over:

  • Tires/Track: Pressure, wear, damage

  • Fluids: Oil level, coolant, brake fluid

  • Controls: Throttle snaps back, brakes feel right

  • Bolts: Nothing obviously loose

  • Chain/Belt: Tension and condition

You're not doing a full inspection. You're catching the obvious stuff before it ruins your day.

Post-Ride Habits

Right after a ride is the best time to log what happened:

  • Log services you performed (oil, adjustments, repairs)

  • Note anything weird (strange noise, soft brake, vibration)

  • Update hours/mileage if you're tracking manually

  • Snap photos of wear items or things to watch

Your memory is freshest right now. Capture it before life gets in the way.

The "Write It Down" Principle

Trying to remember when you last changed the oil across three machines? Good luck.

Writing things down beats trying to remember. Every time.

Even simple entries help. "Oil change, 10W-40, 47 hours" is better than nothing. You'll be amazed how often you reference old entries.

Photos Matter

Your phone is always with you. Use it.

  • Receipts: Proof of parts and costs

  • Part numbers: Saves time on reorders

  • Before/After: Track wear over time

  • Torque specs: Photograph the manual page

  • Weird stuff: Document issues to research later

💡 Pro tip: On iOS, you can attach files directly from iCloud. Tap the attachment button and browse your iCloud Drive for manuals, receipts, or any document you want to keep with your service record.

Need a printable service history? Export a PDF for any machine, with your VIN and every service. Perfect for handing to a buyer, keeping in your records, or showing a shop what's been done.

Go to Settings > Export Service PDF, select a machine, and share or save the document. Clean, professional, and complete.

CSV & ZIP Export and Import

Want a full backup of everything? Export your data as CSV files, separate files for machines, services, and reminders that open in any spreadsheet app. Or grab a single ZIP to move or back up your entire LookOver data in one file.

Need to restore? Use Import Data to bring your records back. Duplicate detection keeps things clean if you import the same file twice. Handy when you're moving to a new device or recovering from a data issue. Your GPS tracks can be exported as GPX too.

Cloud Backup & Multi-Device Sync

LookOver automatically backs up your data to the cloud. If you uninstall and reinstall, or switch devices, your data comes right back when you sign in.

Glossary

Machine
Any vehicle you're tracking in LookOver. Dirt bikes, ATVs, UTVs, snowmobiles, side-by-sides, whatever you ride.

Service
Any maintenance task you've performed. Oil changes, inspections, repairs, adjustments, part replacements.

Reminder
A notification that a service is coming due. Can be based on date, engine hours, mileage, or race count.

Recurring Reminder
A reminder that automatically regenerates after completion. Complete an oil change, and the next reminder appears based on your interval.

Compound Interval
An "OR" interval where either condition triggers the reminder. Example: "every 50 hours OR 2 races" fires when the first threshold is reached.

Service Interval Template (Pro)
A maintenance schedule you build for a machine. Apply it to create all your reminders at once, from a preset, an AI recommendation, or your own.

LookOver Helper (Pro)
The AI behind Quick Add. Describe a machine, service, reminder, or usage update in plain English and it fills in the details.

GPS Ride Tracking (Pro)
Automatic background ride recording. Tracks your route and distance, then updates your machine's totals so reminders stay accurate.

Usage Log
A machine's full history of hours, miles, and races in one place. Combines manual entries, service readings, and GPS rides automatically.

Fuel Log
A record of fill-ups that calculates your real fuel economy (MPG, L/100km, or km/L). Track per fill-up or per ride.

Machine Transfer
Handing a machine's full service history to a new owner with a QR code when you sell. The history follows the machine, not the owner.

Safety Recall Alert

Common Questions

What should I track first?
Start with the services you do most often or forget most easily. For most riders, that's oil changes, air filter cleaning, and chain/belt maintenance. Add more as you get comfortable.

Do I have to enter every mile by hand?
No. Turn on GPS ride tracking and LookOver records your distance in the background, then updates your machine with one tap. Logging a service or a fuel fill-up can update your totals too. Manual entry is always there if you prefer it.

How often should I update hours/mileage?
After each ride is ideal. But even updating weekly or before you log a service works fine. The goal is reasonable accuracy, not perfection.

Can I use LookOver on my computer?
Yes. Open web.lookover.app in any browser and sign in with the same account. It's the same garage with a keyboard and a big screen, syncing live with your phone.

Can I share my records when I sell?
Yes. Export a PDF, or hand the buyer a QR code and the full service history transfers with the machine. You pick what comes along.

How will I know about a safety recall?
LookOver checks your machines against the U.S. recall databases and flags any match on the machine, plus sends a push notification. It's on for everyone, free and Pro.

Does it work offline?
Absolutely. Log services on the trail with no signal. Everything syncs when you're back online. We built LookOver knowing that riders go where cell towers don't.

I have machines from different categories. Can I track them all?
With Pro, yes. Track your dirt bike, ATV, UTV, and snowmobile all in one place. One app for your whole garage.

What if I've been maintaining my machine but have no records?
Start fresh. Add your machine, estimate where you are on services, and start logging from today. Or use the Notes Importer to bring in what you already wrote down. Past records are great, but future consistency matters more.

Is my data safe?
Your data is stored securely in the cloud and synced across your devices. You control your data and can export it anytime.
